Buying a Digital Signature Certificate is only half the job. Before you can sign anything, each government portal needs to know that your certificate belongs to you. That means registering the DSC separately on every portal you use, and doing it again whenever the certificate is renewed or replaced. This guide walks through the main portals and the errors that most often get in the way.

Before You Start

Most registration problems come from the computer, not the portal. Before you begin:

  • Install the driver for your USB token. It usually comes from the token maker's website, not the Certifying Authority.
  • Install the signer utility each portal asks for. The MCA and GST portals use emSigner, and the income tax portal uses emBridge. Each portal links to its own utility.
  • Plug in the token and check that your certificate shows up in the token's software.
  • Have your token password ready. Several wrong attempts can lock the token.
  • Check that the certificate hasn't expired, and that the name and PAN in it match the portal records.

MCA Portal

Directors, designated partners, company secretaries and professionals sign MCA forms with their DSC, so it has to be associated with their MCA account first.

  1. Log in to your MCA account.
  2. Open the option to associate a DSC with your account.
  3. Select the certificate from the token when prompted, and enter your PIN.
  4. Confirm the details. The name on the DSC should match the name in your DIN or DPIN records.

Once associated, the DSC can be used to sign forms such as annual filings, DIR-3 KYC and incorporation documents. If a director's name differs between the DSC and the DIN records, update the DIN details or get a DSC in the correct name before filing.

GST Portal

The authorised signatory registers their DSC on the GST portal. Companies and LLPs generally have to sign GST applications and returns with a DSC, while other taxpayers can also use an electronic verification code.

  1. Log in to the GST portal.
  2. Open the option to register or update a DSC in your profile.
  3. Select the authorised signatory's PAN.
  4. Choose the certificate from the token and sign.

The PAN in the certificate must match the PAN of the authorised signatory in the GST registration. If the signatory changes, update the registration first, then register the new person's DSC.

Income Tax Portal

On the income tax e-filing portal, a DSC is registered against the user's own login.

  1. Log in to the e-filing portal.
  2. Open the option to register a DSC in your profile.
  3. Choose the certificate from the token through the emBridge utility, and sign.

Companies must file their income tax returns with a DSC, and tax audit reports are signed with the auditor's DSC. Individuals can usually e-verify with Aadhaar OTP or another electronic verification code instead.

EPFO Employer Portal

Employers register the DSC of an authorised signatory on the EPFO employer portal. It's used for approving employees' KYC details and for some other employer actions.

  1. Log in to the employer portal.
  2. Open the option to register a DSC, and enter the signatory's details.
  3. Sign with the token.

EPFO may need to approve the registration before the DSC can be used, so register it well before you need it.

Common Errors and How to Fix Them

  • The token isn't detected: reinstall the token driver, try a different USB port, and restart the browser.
  • The signer utility isn't running: start emSigner or emBridge before signing, and allow it in your firewall or antivirus.
  • The PAN or name doesn't match: the DSC must be in the name and PAN the portal expects. Correct the portal records or get a new DSC.
  • The certificate has expired: a DSC can't be extended. Get a new one and register it again.
  • The DSC is registered to another user: deregister it from the old account, or register it against the right account.
  • The token is locked: too many wrong passwords lock it. Some tokens can be unlocked with the admin PIN; otherwise, a new DSC is needed.

After Renewal

A renewed DSC is a new certificate, even if the name and PAN are the same. Register it again on every portal you use, and remove the old one where the portal lets you. A good habit is to keep a list of every portal where each DSC is registered, so nothing is missed when it's replaced.
