Form 3CD is the heart of a tax audit report. It's a long statement of particulars, reported clause by clause by the auditor, that the income-tax department uses to assess risk and select returns for scrutiny. Knowing what it asks for helps you keep records that answer it cleanly.

What Form 3CD Covers

Form 3CD asks for dozens of particulars. Some of the most significant:

Basic information

Nature of business, method of accounting, method of valuing stock, and any change in either.

Depreciation

Tax depreciation on each block of assets, including additions with dates, since the timing of additions affects the rate.

Amounts inadmissible under Section 40(a)

Payments on which TDS was required but not deducted, or deducted but not deposited, can be disallowed wholly or partly.

Payments to relatives and connected persons, which can be disallowed if excessive.

Cash payments

Expenses paid in cash above the permitted limit per day to one person, which are disallowed.

Statutory dues under Section 43B

Taxes, duties, employer contributions and certain other items are deductible only when actually paid, and the report lists what was paid and when.

Employee contributions to PF and ESI

Employees' contributions deducted from salaries but deposited after the due date under the relevant Acts are disallowed.

TDS compliance

Whether TDS was deducted and deposited correctly, and whether TDS returns were filed on time.

Loans and deposits

Loans and deposits taken or repaid otherwise than by account payee cheque or electronic means, above specified limits.

Payments to MSMEs

Amounts due to micro and small enterprises beyond the time limit under the MSMED Act, which can be disallowed until paid.

How to Keep Records Ready

  • Track dates of fixed asset additions.
  • Deposit employees' PF and ESI contributions on time.
  • Deduct and deposit TDS correctly, and reconcile it monthly.
  • Avoid cash payments above the limits.
  • Track supplier MSME status and pay them within 45 days.
